EARMA Odense conference 2024: Your Guide to the Pre-conference Day 23 April 2024

If you are already in Odense on 23 April and you HAVE NOT signed up for a social event, the research security summit or a pre-conference workshop for that day, then the conference starts for you at 4:30 pm at the Odense Congress Center (OCC) with the Member’s Meeting or in the evening with the Welcome Reception at Storms Pakhus in Odense city.  

Regarding any social events or pre-conference workshops you are attending, you should have received all the information by now. If you don’t have detailed information, you are either not signed up or something has gone wrong. Please check your conference registration via our website or email earma@earma.org if you have any doubts. 

If you have some free time and would like to discover Odense and its surroundings, here you can find attractions and activities to experience.

@Everyone: 

How and when can I pick up my badge? 
There are many options. Registration openings on Tuesday: 

  • Pre Conference Workshops at SDU from 8:30 am 

  • Members Meeting (The future is now 2024-2028) at OCC from 4:00 pm 

  • Welcome Reception at Pakhus from 6:00 pm 

 
What will happen at the  Members Meeting? 
Join us for the launch of EARMA’s new strategic plan 2024-2028. This session will provide an overview of our association’s direction, detailing the vision, goals, and objectives we aim to achieve in the near future. This session marks the beginning of a new venture for our organisation, and we’re eager to share how we plan to enhance support and advocacy for our members in the research and innovation ecosystem. 
 

What can I expect from the Welcome reception, and when shall I arrive? 
📍 Venue: Storms Pakhus, walkable from Odense city center accommodations. Below is the map that showcases the 8 min walk from Odense train station to the Welcome reception venue.  
⏰  Time: The event officially kicks off at 7 pm. You can arrive anytime from 5 pm onwards and enjoy a live DJ and some street food.
🎟️ Registration: Opens at 6 pm. 
ℹ️ Info: Upon picking up your badge, you will receive a voucher for one free drink from any of the bars. Food and additional drinks are at your own expense. The venue is an international food market, so everyone will be able to find something big or small to their liking. If there is a line at registration, feel free to go ahead and enjoy the venue. The EARMA band will be playing for you, too. Just come back whenever there is no line.  Spouses, friends and colleagues can attend as well. Food and drinks will be at their own expense. Entrance is free. 

 

Can I also join the Newcomers Gathering? 
If you are a newcomer or just would like to meet more people, join us for the networking game directly behind the registration at 7:30 pm. The explanation will be in the Brella App. Couple of minutes before the game you will receive the notification indicating that it will start.  
 

​Will there be anyone from EARMA at the CPH Airport? 
Yes – You will find the EARMA desk available for questions after the baggage claim.


Will there be any Shuttle busses that day? 
No, not on the pre-conference day. The Pakhus is located next to the center, so you can easily walk if your hotel is in the city center. The congress center OCC and the SDU are reachable by public transport from the city center. It is a 10 minutes ride by tram to the stop Bilka (Odense Letbane) From there you can either walk to the congress center, following the yellow EARMA signs or take a bus for one stop further. 
 

What is the Research Security Summit in Odense, and how can I join?
Research security is becoming an increasingly important topic in European R&I. EARMA is delighted to be joined in Odense by the Research Security Summit on April 23, 2024. The aim of this event is to build links in the European research management community in operationalising national research security guidelines and compliance measures. By sharing knowledge of national policy and practice in due diligence and research security matters, this event will establish a basis for further collaboration to build the capacity of research managers and mitigate research security risks in international research collaborations. The Research Security Summit is free to attend and you can register via the link on the webpage. Read more.

 

@Speakers: 

How do I upload my presentation slides online? 
All speakers can upload their presentation slides online by Tuesday, April 23rd, by 14:00 CEST to the folder that was shared with them on April 3rd from the email address drive-shares-noreply@google.com. For any inquiries, please email terezia.minarikova@earma.org

Speakers will also be able to visit the "Presentation Upload Room" during the conference days to ensure that slides were received correctly. This room will be open for all Conference Speakers from 8:00 on Wednesday until 16:00 on Thursday.  
 

@Poster authors: 

How do I make sure my poster is allocated correctly? 
The Poster presenters who did not submit the poster for printing will be able to come to the OCC before the Member's Meeting on Tuesday, 23rd April, and hang their printed posters in the A1 format in the Poster room. 
 

@Sponsors: 
How and when can we set up? 
You can set up on Tuesday, April 23rd, from 08:00 AM - 04:00 PM. 
 
What can we join?
All official parts of the conference. This means no social events or pre-conference workshops unless you signed up for them and no closed group/ committee meetings. The Member's Meeting and welcome reception today and the gala dinner are included, of course.  

Shall we already plan to be at our stands today? 
No, today you can calmly set up. We recommend you are at your stand from after the plenary tomorrow.

EARMA reserves the right to charge the full fees of the conference or workshops to yourself/your institution in the case of no confirmation or a no-show. Cancellations work in accordance with EARMA's cancellation policy.
