About the Role
We are seeking a proactive and detail-oriented Finance and Operations Officer to join our team. This role is essential to ensuring the smooth operation of our financial, administrative, and support systems. You will work closely with the Head of Finance and Operations and collaborate with internal teams, external partners, and service providers.
Key Responsibilities
The services of the employee consist mainly in:
- Assisting with financial reporting.
- Creating and sending invoices to the corresponding parties.
- Managing and recording payments.
- Collaborating with our accounting partners for invoice and tax return reporting.
- Supporting the office's risk management plan process.
- Managing financial matters and related correspondence.
- Placing orders with suppliers where needed.
- Ensuring daily processes run smoothly.
- Handling correspondence, complaints, and questions as part of the EARMA helpdesk.
- Preparing letters, presentations, and reports as necessary.
- Maintaining regular contact with staff, suppliers, and customers.
- Preparing regular financial reports on memberships, events, and office budgets.
- mplementing and maintaining office administration systems and procedures.
- Assisting with general office management tasks.
- Organising transport, travel, accommodation bookings, and various reimbursements as needed.
- Using a range of software tools such as sbbSLIM, sbbFACT, Microsoft Excel, Surveymonkey, and others.
- Providing backup support for key team members when necessary.
- Ensuring continuity by stepping in where required.
- Supporting the EARMA Managing Director as needed.
Profile of the Ideal Candidate
- Previous experience/study in a similar finance and/or operations role (1 to 3 years). We are also open to junior profiles who demonstrate strong potential and motivation.
- Candidates with a practical or educational Accounting background will be given priority.
- Strong organisational and administrative skills.
- Attention to detail with a proactive mindset.
- Ability to manage multiple tasks and meet deadlines.
- Familiarity with financial systems and office software.
- Excellent written and verbal communication skills.
- Team player who can also work independently.
Terms of Employment
- Contract Type: Full-time, permanent contract
- Working Hours: 38 hours per week
- Reporting to: Head of Finance and Operations
Compensation and Benefits
- Gross Monthly Salary: 2300 - 2500€
- Work-from-home & Internet Allowance: Approximately €170/month (comprising €150 work-from-home allowance and €20 internet allowance), applicable when working at least one day per week from home. Typically, EARMA employees work 2–3 days remotely per week.
- Meal Vouchers: Monthly, up to the maximum legal amount
- Annual Leave: 28 days of holiday per year when full rights are acquired under Belgian law
- Professional Development Budget: Annual budget for professional training and development
- End-of-Year Premium: 60% of one month’s salary (prorated if not employed for the full calendar year)
- Hospitalisation Insurance: DKV additional hospitalisation insurance (processing time and waiting period apply)
- Eco Vouchers: €250 per year, prorated if not employed for the full calendar year
- Sport & Culture Voucher: €100 per year, prorated if not employed for the full calendar year
