EARMA seeks a EU projects finance and administration intern

We are looking for an enthusiastic candidate to join our team as a EU Projects Finance and Administration Intern. You will become part of a small office in Brussels (Belgium). This is a hybrid position so you must have a space where you can work in a professional manner with minimal noise interference and a stable internet connection. EARMA will provide the IT equipment needed for the internship.

 

About EARMA

EARMA is the European Association of Research Managers and Administrators and represents the community of research management professionals in Europe. Our members ensure the smooth running of research projects by providing administrative support. We are a non-profit organisation under Belgian law with a legal address in Brussels. Our members are mainly academic institutions, universities and research performing organisations. We organise an annual conference with 1000+ attendees, deliver projects funded by the European Commission, offer a research management training programme and provide additional opportunities for our community to share best practice. We have approximately 170 institutional members (organisations) and 200 individual members. EARMA has existed for 25 years and has a strong reputation in the Brussels Research & Innovation space.

 

Responsibilities

You will assist the Head of EU projects in providing financial and administrative support for the EU projects unit.

Duties will include:

  • Support the EU projects team with the financial and administrative management of EARMA’s EU-funded projects, such as financial planning, budgeting, reporting, and monitoring budgetary performance. EARMA projects here: https://earma.org/about/projects/
  • Assist with finance-related workflows within the EU projects and in relation to our funders, notably the European Commission, as well as compliance with the specific guidelines provided by the European Commission.
  • Help in the preparation of project administrative and financial documentation (Consortium and Partnership Agreements, Grant Agreements/Amendments, partners financial documentation).
  • Prepare monthly timesheets together with colleagues; collecting and archiving of evidence for projects, archiving of invoices as well as administrative and legal documentation.
  • Assist with internal or external audits when needed.
  • Attend meetings with senior management when needed.
  • Be proficient in a range of software packages such as Microsoft Excel, Surveymonkey and others.
  • Contribute in the preparation of financial and administrative documents for new proposals.
  • Any unforeseen tasks arising from the needs of the projects/EARMA office.
