Communications Officer job vacancy

We are looking for an enthusiastic candidate to join our team as a Communications Officer. You will become part of a 10+ pax international office in Brussels (Belgium) with additional colleagues abroad. This is a hybrid position so you are required to have a space where you can work in a professional manner with minimal noise interference and a stable internet connection. EARMA will provide the IT equipment needed for the position.
 

About EARMA
The European Association of Research Managers and Administrators (EARMA) is the leading representative organisation for research management professionals in Europe. Operating since 1995, EARMA’s membership includes European research-performing organizations (RPOs) and research funding organisations (RFOs), with approximately 250 institutional and 250 individual members as of 2024.

EARMA is a non-profit organisation under Belgian law, with its legal address and office in Brussels. The EARMA office is an international team that collaborates to provide services to the European research management community and to promote recognition of the profession. EARMA organises over 40 events and a major conference with 1500 participants every year. Our office is located in the heart of Brussels, next to Brussels Central Station, and our team consists of 14 multinational, enthusiastic, and dynamic professionals working with several freelancers from across Europe. We are looking for a colleague to help and take care of our team and the office.
 

Responsibilities
You will report to the Head of Engagement, Communications & Events and be part of the Community Engagement team. You will work closely with the Policy & Communications Officer in providing communications support to all areas of EARMA’s activities. 

Duties will include: 

Communications

  • Strategic development of our annual Association Communications strategy and schedule together with the Policy and Communications Officer and ensure the meeting of its targets every month
  • Creation of brochures and other communication materials to promote our services
  • Manage EARMA events promotion activities, particularly the annual EARMA Conference
  • Strong collaboration with our internal events managers to ensure all event needs are met
  • Collaboration with and daily schedule creation for photographers, videographers and other staff as needed for Communications Strategy
  • Together with the Policy and Communications Officer liaison between Community Engagement Team and other EARMA teams and ensuring communication needs of all teams are met particularly also of the Professional Development Team incl. communications for EU funded projects
  • Draw up an internal Communications Strategy for EARMA and implement it
  • Manage web content & support the Membership & Innovation Manager with content for our new website in the making
  • Manage social media content and social media optimisation (SMO)
  • Design graphics for social media, website and events promotion
  • Monitor media activity for reporting purposes
  • Create and issue weekly media monitor internally
  • Create and issue newsletters managing the whole process
  • Manage video library
  • (Basic) video editing
  • Write and publish articles and press releases
  • Occasional media liaison
  • Attend events on behalf of EARMA and write minutes

Public relations

  • Prepare and distribute approved press releases to media outlets under guidance
  • Produce editorials and feature articles in line with EARMA’s organisational priorities 
  • Research R&I policies and updates
  • Manage the RMA Career section
  • Oversee the Customer Relationship Management (CRM)

+ any additional tasks required for the smooth running of EARMA Communications. These could occasionally include policy related tasks.


Desired profile

  • Bachelor & Master’s degree in a related field
  • Excellent command of English 
  • Comfortable in being flexible, multitasking, prioritising work and meeting deadlines
  • Excellent knowledge of MS Office tools (Word, PowerPoint, Excel and Outlook)
  • Knowledge of Adobe Creative Suite (e.g. Premiere Pro and Final Cut Pro)
  • Knowledge of Mailchimp and Canva
  • Experience in video editing would be an asset
  • Graphic design skills would also be an asset
  • Understanding of the European landscape
  • A strong interest in news and media is desirable
  • A passion for writing
  • Creative thinking and conflict resolution skills are desirable
  • A collaborative and pro-active attitude is desirable

 

Offer
Join a dynamic 14-person team at Rue des Colonies 56 in Brussels, working in a brand-new office located in a top-class office building.
•    Unlimited duration contract; Salary to be negotiated
•    Work-from-home allowance: approximately 160 (140+20) EUR per month (applies only to employees working at least one day per week from home; typically, EARMA employees work 2-3 days per week from home)
•    Monthly meal vouchers (up to the maximum allowable amount)
•    28 days of holiday per year
•    Annual budget for professional development
•    Home internet allowance of 20 EUR per month
•    End-of-year premium of 60% of monthly salary
